When an order is ready for checkout, we need to set things up in Current.

What follows is the idealized "paperless" process that we are working towards.

Notes about CurrentRMS Stock

In CurrentRMS, there are 3 types of stock items:

  • Serialized: They have an asset number. This is what we barcode so we can scan items quickly.
  • Bulk: They might have a barcode, but it's not unique. For example: Speed Clips or Speed Rail is bulk
  • None: Typically used for Kits, when the kit itself is made up of serialized & bulk items.

When Checking out, Serialized assets are scanned in the "Allocate" screen. This assigns the asset to this specific opportunity. As long as there are still serialized assets left to allocate, you will see entries with a "Group Booking" asset number. This just means that there are more assets of that type to scan. Once all assets of a type are allocated, the group booking disapears. Here is an example:

The "Functions" tab is where we deal with the Bulk and None items.

Once all assets are allocated, it means that the entire rental kit is ready to go out the door. We print the checkout form which lists all the individual assets.

The following operations are done at the checkout station in the warehouse:

1. Open the opportunity in current and go to the Detail view

2. Select the "Allocate" tab

3. Every item type with a Group Booking should have a barcode asset tag should be scanned using the barcode scanner gun.

If the item is one that was reserved, it will appear as a new line with a Qty of 1 and Alloc 1 Any serialized items not yet allocated are marked as Group Booking.

Once every serialized items have been prepped, switch to prepping the bulk items.

4. Change to the Functions Tab and for the bulk count the appropriate bulk items. When they are all accounted for, select the bulk items and under actions, select "Auto-Allocate".

5. Once all items (serialized and bulk) have been allocated, the order should be considered staged and ready for pick-up.

6. Print the Checkout Sheet and put it on the Pick-Up column.

6. On pick-up, take the checkout form, go over it with the client, have them sign when they are satisfied.

7. Go to the Current Opportunity, Details view, Functions Tab. Select all the items and under Action, "Book Out".

All items should not say booked-out, which indicates they have left the premises.
